Job Description

Excellent new position with a blue chip financial services company based in Dublin 2. As executive assistant to the CEO, you will be  responsible for providing a personalized secretarial and administrative support in a well-organized and timely manner. You may be exposed to sensitive information, and must use considerable tact, diplomacy and judgment.


Responsibilities:

  • Extensive diary management and coordination, including liaising with internal and external stakeholders to arrange meetings, conference calls, and seminars to ensure the correct balance of needs and priorities

  • Work on own initiative to ensure meticulous email screening, prioritising, drafting and handling of correspondence in a timely manner

  • Screen and place calls with an appropriate appreciation for importance and priority

  • Field and/or follow up on external/internal calls

  • Produce itineraries/programmes for internal meetings and internal/external visitors, upon request

  • Organise complex travel, accommodation, prepare itineraries

  • Organisation of relevant offsites 

  • Prepare monthly business expenses forms

  • Organise and monitor specific networking events

  • Assist Head of Events with ad-hoc tasks related to corporate events and client gifting and track event invoices

  • Handling of the above accountabilities with the utmost discretion and awareness of sensitive information


Requirements:

  • Previous Executive Assistant experience within a professional or financial services environment with substantial experience supporting Executive/Director level

  • Excellent standard of Microsoft Office suite and other systems skills; with a flair for the latest technology and digital connectivity across all platforms and multiple devices

  • Comfortable working in a Global and virtual environment and at senior levels

  • Exceptional presentation and PowerPoint skills with the ability to create and prepare presentations quickly and to a high standard

  • Event organisation experience will be essential for organising dinners and high level meetings as well as assisting in organising client events/ hospitality

  • Used to dealing with highly confidential information with discretion
